HR Compliance Checklist for UK Employers: What You Must Have in Place

HR Compliance Checklist for UK Employers: What You Must Have in Place

11th September 2025

Why HR Compliance Matters for Small Businesses

As a UK employer, even with just one employee, you have legal responsibilities. But when you’re spinning lots of plates, HR compliance often slips down the list until something goes wrong.

Failing to comply can lead to:

  • Costly fines from HMRC or the HSE
  • Employment Tribunal claims
  • Loss of staff trust and morale
  • Damage to your reputation

The good news? Compliance doesn’t have to be complicated, if you know what to prioritise.

The Core Areas of HR Compliance You Need to Think About

Here’s a snapshot of the essentials every small UK employer should have in place:

  1. Employment Contracts that provide written terms of employment on or before day one.
  2. Policies & Procedures: disciplinary and grievance policies are legally required, while others such as absence, equality and flexible working are strongly recommended
  3. Right to Work Checks must be carried out before an employee starts.
  4. Pay & Benefits compliance (including Payroll, PAYE, National Minimum & Living Wage, Pensions and SSP)
  5. Employer’s Liability Insurance is compulsory as soon as you employ anyone.
  6. Health & Safety: Assess risks and record them if you employ five or more people.
  7. Data Protection (GDPR): Keep staff data secure, have a privacy notice and follow retention rules.
  8. Pensions: enroll eligible employees in a workplace pension and make contributions.

These are just the headlines. The details, including what each requirement involves and how to implement it, are included in our downloadable HR Compliance Checklist.
